This Privacy Policy explains how Kilij Digital Ltd (“Kilij Digital”, “we”, “us”) collects, uses and protects personal data when you contact us or use this website. It applies to data we handle as a controller. Where we process personal data on behalf of a client (for example, when running a lead system for their business), we act as a processor under that client’s instructions; see our Data Processing Agreement.

1. Who we are

Kilij Digital Ltd is the data controller for personal data collected through this website and our own enquiry channels. We are based in Colchester, United Kingdom.

  • Email: [email protected]
  • Company number: 17303528
  • ICO registration number: ZC183393
  • Registered office: 24 Swallowtail Glade, Colchester, CO3 0AH

2. What we collect

  • Information you give us, such as your name, contact details, business details and the content of your messages when you contact us by web form, WhatsApp, Instagram, email or phone.
  • Technical information, such as your IP address, browser type and device information, collected through essential cookies and server logs.
  • Records of our correspondence with you.

3. How and why we use it

We use personal data to:

  • respond to your enquiry and provide what you ask for (lawful basis: taking steps at your request before entering a contract, or our legitimate interest in responding to enquiries);
  • provide and manage the services we agree to deliver (lawful basis: performance of a contract);
  • keep records and meet our legal obligations (lawful basis: legal obligation);
  • send marketing where you have asked us to or otherwise consented (lawful basis: consent), which you can withdraw at any time.

4. Automated responses

We use automated systems, including AI, to help us respond to enquiries quickly across messaging, email and web. These systems help draft and send replies and capture the details of your enquiry. We do not make decisions producing legal or similarly significant effects about you by solely automated means, and you can ask to deal with a person at any time.

5. Sharing and service providers

We share personal data with trusted service providers who help us run our website and services, such as hosting, email, messaging platforms, scheduling and AI providers. They act on our instructions. A current list is on our Sub-processors page. We do not sell your personal data.

6. International transfers

Some providers are located outside the United Kingdom. Where personal data is transferred internationally, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement or the Addendum to the EU Standard Contractual Clauses.

7. How long we keep it

We keep personal data for as long as we need it to respond to your enquiry and provide our services, and then for any period required to meet our legal, accounting and record-keeping obligations. When it is no longer needed, we delete or anonymise it.

8. Your rights

Under UK data protection law you have the right to access, correct, erase, restrict or object to our use of your personal data, the right to data portability, and the right to withdraw consent where we rely on it. To exercise any of these, email [email protected].

If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk, though we would welcome the chance to put things right first.

9. Cookies

We use cookies and similar technologies as described in our Cookie Policy.

We may update this policy from time to time. Any changes will be posted on this page with a revised date below.
